Adding Articles to the Knowledge Base

  1. Log in to knowledgeowl.com.
  2. Navigate to the correct folder to which you want to add the new article.
  3. Click Add Article.
  4. Type in the article title.
  5. Select New Article.
  6. Click Add and Edit.
  7. Click the Paste from Word button to open the Paste from Word window.
  8. Copy the article you are moving and paste it into this window.
  9. Use the KB Style Guide, found on the knowledge base itself, under Technology > Knowledge Base, to format the new article correctly according to our new guidelines. Pay particular attention to photos, bolding and italicizing, notes (which should be italicized with the beginning in all caps; NOTE, HINT, or WARNING), and header sizing.
  10. When you have finalized the article, change its status on the article list, found on SharePoint under LTS > Units > Continuous Improvement Services > Documents. Depending on your progress on the article, change it to Added to Knowledge Owl, Style Reviewed, or Published.

Uploading Photos

Photos used in articles on the knowledge base must be uploaded to the site so they are saved in a stable place and won’t be deleted with the old help articles.

If the article you are moving or creating has only one or two photos, you can simply right-click the photo, select Save as, and save the photos to the correct folder in your documents or desktop. If there are many more photos than this, follow these directions:

  1. Copy the article and paste it into a new Word document.
  2. Save the document with your article to your desktop.
  3. Close the Word document.
  4. On your desktop, rename the file so it ends in .zip instead of .docx or .doc.
  5. A popup will appear to confirm this change. Click Yes.
  6. Right click the new zip file and select Extract all…
  7. On the popup, click Extract.
  8. A folder with the extracted data will appear. Click open the folder titled word.
  9. Click media.
  10. All of the photos from the article will appear in the list. Rename them according to the guidelines in the style guide.

Once you have all of the article photos renamed and saved on your computer, you can upload them to the knowledge base.

  1. After logging in to knowledgeowl.com, click Library from the top bar.
  2. Select Files from the dropdown.
  3. Click Add Files.
  4. Click Add Files again and choose the photos you wish to upload, or drag the files into the Upload Files window.
  5. Once you have added all the desired photos, click Start Upload.
  6. Once they have uploaded, click Save Files.

You can now add your photos into knowledge base articles by clicking the Add File/Image button and searching them by name. Since the photos have been saved to the site, you can also delete the zip files from your desktop.
